TTS ACADEMIC LAB · OPERATIONS

One Lab. The assigned exam.
A clear teaching routine.

Guide for Test Prep Lab (HSPT, ISEE Upper Level and SSAT Upper Level) and Targeted Intervention Lab. Updated October 25, 2026. Feature descriptions match this upload package; deployment and production configuration must be verified separately.

ISEE and SSAT have not been removed. The student sees the exam set in their enrollment. Shared planning tools use that exam’s content and results. Content review is still required; identical workflows do not imply identical questions, timing or validated difficulty.

1. Assign the exam from the tutor portal

New in this upload. Requires one-time owner permission setup below. After setup, tutors assign exams entirely from their portal.

  1. Sign in as Tutor. Open Tutor dashboard and find Assign a student’s program. It appears for tutors even before a student has results.
  2. Find the student already assigned to your tutor account. Open their dropdown and select HSPT, ISEE Upper Level, SSAT Upper Level or Targeted Intervention.
  3. Click Save assigned program. Wait for “Assigned program saved.” The student’s existing historical results and plans are preserved by exam. An unfinished saved assessment blocks an exam change until resolved.
  4. Under Assign an assessment, choose the new exam’s diagnostic. Review its questions, assign it, and wait for Changes saved.
  5. Ask the student to refresh My learning or sign in again. Only the assigned exam appears, with its assigned work. There are no separate ISEE/SSAT navigation tabs.
  6. After the diagnostic is submitted, refresh the tutor portal and review that exam’s eight-week plan, presentations and practice resources using the steps below.
One-time setup — TTS owner only
  1. Unzip this package. Open account/tutor-program-assignment-setup.sql as text and copy its complete contents.
  2. Sign in to your existing Supabase project. Open SQL Editor, create a new query, paste the SQL and run it once. The script installs the restricted program save action and audit log; it does not change existing student exams or grant general enrollment-edit access.
  3. Upload the complete website ZIP as a new deployment to the existing Cloudflare Pages website project. Keep the booking Worker.
  4. Sign out and back in as Tutor. Test with a staff-owned test student first. Confirm another tutor cannot change that student’s exam, and students have no assignment controls.

If the SQL fails, keep its error message for troubleshooting. Do not disable security policies. This setup has not been applied or tested on your production database.

2. Diagnostic → eight-week plan → session materials — tutor

Shared workflow for HSPT, ISEE Upper Level and SSAT Upper Level. This is an editable evidence-based draft, not automatic tutoring or a promise of improvement. Adjust the schedule for shorter programs.

  1. Sign in as Tutor and find the assigned student. Under Assign an assessment, choose the correct exam’s diagnostic. Click Review questions and check the content, answer key and suitability. Then click Assign assessment and wait for Changes saved.
  2. The student signs in, opens My learning → Your assigned work, completes the diagnostic and submits. Confirm the saved/submitted status. A locked assessment has not been assigned.
  3. Return to the tutor portal and click Refresh shared data. Choose that student’s completed diagnostic in Student assessments. Inspect section results and missed answers. Confirm priority skills with fresh examples.
  4. Open 8-week plan (shown as 2. 8-week plan after results). Choose the student and diagnostic source. Review the automatic draft, set the start date, adjust goals and the two sessions per week, and click Save eight-week plan. Wait for Changes saved.
  5. Open each week. Edit instruction, homework and progress checks. Review the linked resources, check the suitability box, then click Assign this week’s linked work. Saving a plan alone does not assign or unlock its resources.
  6. Open 3. Build instruction. Select the appropriate week and session. Review the presentation, questions and exit ticket, edit where needed, and mark/save the presentation as reviewed. Missing teaching material requires tutor-supplied content; do not treat a draft as reviewed.
  7. Use the scheduled session’s lesson room and Google Meet. Share the separate presentation tab. Students answer in their own TTS room. Calendar appointments must be scheduled separately; entering a plan start date does not create 16 appointments.
  8. After a follow-up or mock is submitted, refresh, choose that result, and use Update untouched future weeks from selected result. Review the change before saving. Completed, started and tutor-edited weeks are preserved.

3. Student Learning Coach

Result-based guidance works now. Optional AI replies remain disabled until separately configured and tested.

  1. Complete and submit a tutor-assigned assessment, then open My learning → Open my study plan, or Learning Coach.
  2. Choose the completed assessment from the result selector. Read the priority skills, evidence and suggested routine. Ask the tutor to confirm the focus and assign suitable work.
  3. Use My progress to view saved practice history. Only matching practice forms produce a calculated comparison; different exams are not combined.
  4. If AI ASSISTANCE says responses are not connected, the result-based tools above still work. After a backend connection is tested and enabled, enter a learning question and select Ask coach. Do not enter private contact or medical information.

4. Mock-test review

Saved-question review is included for all three exams. Practice accuracy is not an official scaled score or percentile.

  1. Finish and submit the mock. During an active assessment, use the test instructions rather than the Coach.
  2. Open My results → View graph & answers, or My learning → Review completed questions.
  3. In Learning Coach choose the completed mock and Review, then select a question. Compare the question, passage, answer key, your response and saved explanation.
  4. Ask the tutor about unclear or draft explanations. AI explanations require the connected backend and approved question content. ISEE/SSAT writing samples need manual tutor review; they do not receive an automatic writing score.

5. Adaptive / focused practice

Existing skill-targeted recommendations and tutor assignment work now. Autonomous adaptive testing and new-question generation are not active.

  1. Student: open My learning → See practice suggestions and select the relevant result. Read the suggested existing lessons.
  2. Tutor: review the diagnostic or follow-up evidence and the eight-week plan. Check that each practice resource fits the student’s assigned exam, skill and level.
  3. Review its questions, then assign the selected lesson or the reviewed week’s linked work. Student refreshes My learning and completes the work.
  4. Review the new result and adjust future instruction. Repeated questions show familiarity as well as possible learning; confirm with fresh examples.
  5. New AI-generated question production and its staff review/publish workflow are not built. There is no Generate new questions control in this release.

6. Parent progress

Draft reporting exists. Scheduled parent delivery and parent-account access still need development.

  1. Tutor: open Session reports for the correct appointment. Record topics, activities, evidence, homework, next steps and a parent-facing update. Keep private details in Internal notes.
  2. Save a draft during teaching. After the scheduled session ends, use Complete session & finalize report. Wait for Changes saved. If the completion setup is missing, keep the draft and contact TTS; it is not finalized merely because it was typed.
  3. Open Parent reports, select the student, reporting start date and seven-day or fourteen-day period, then generate the draft. Only finalized reports from completed sessions feed this report.
  4. Check factual claims, edit the text, save the draft and download the reviewed report. Share it manually through the approved TTS communication process.
  5. The Coach’s Assessment summary draft is a separate assessment-only report. It does not include finalized session notes. Neither report automatically sends email, and a separate parent login is not available.

7. Accountability and reminders

Not built: no automatic email or text reminders run from this release.

  1. Current manual routine: tutor reviews assigned work, checks completed results and discusses missed work during the next session. Record the next action in notes and assignment instructions.
  2. Automated reminders cannot be switched on yet. Development must add reliable due dates, completion checks, approved recipients/preferences, a delivery schedule, an email connection, and delivery records that prevent duplicates.
  3. Test the workflow with staff-owned accounts: one unfinished assignment, one completed assignment and one canceled reminder. Confirm completed work does not trigger an overdue notice before enabling family delivery.
  4. SMS needs a texting provider and an opt-in/stop workflow. No texting service is connected. Gmail connected to this chat does not configure the deployed site’s background email service.

8. Tutor assistant / pre-session brief

Assessment-based briefs work now. A combined AI brief incorporating finalized notes needs further integration.

  1. Sign in as Tutor → Open tutor briefs. Choose an assigned student and a completed assessment.
  2. Read the assessment evidence, suggested priorities and session structure. Review private session notes in the tutor dashboard separately; the assessment brief does not include them.
  3. Confirm needs with the student and prepare the reviewed week/session presentation. Use the eight-week plan and finalized reports for the continuing teaching record.
  4. Optional AI assistance uses the separate backend connection. A generated brief still needs tutor review before it guides a real session.

9. Leadership dashboard

Not built. Do not use the browser demonstration administrator screen as an organization-wide dashboard.

  1. There is no live leadership dashboard to open in this release. Student and tutor accounts do not grant organization-wide reporting.
  2. Development must add explicit leadership access, defined participation/completion measures, authorized aggregate queries, filters and drill-down permissions.
  3. Validate totals against saved assignments, completed results and finalized sessions. Then test that students and ordinary tutors cannot access leadership data before enabling staff access.

10. Readiness tracker

Practice history exists. A benchmark-and-exam-date readiness tracker is not built.

  1. Current routine: use My progress and tutor assessment evidence to discuss preparation. Record the exam date and targets with TTS separately.
  2. Development must add saved exam dates, tutor-defined benchmarks for each exam/level, task completion, freshness of evidence and a student/tutor progress view.
  3. Test HSPT, ISEE and SSAT separately. Clearly show unknown or insufficient evidence. Do not generate school admission probabilities or guaranteed score gains.

11. Activate optional AI — assisted technical setup

This activates Coach assistance only. It does not activate reminders, generated-question publishing, parent delivery or unbuilt dashboards.

  1. Keep the current website and booking Worker. The Learning Coach backend package is a separate project named tts-learning-coach; do not paste it into the existing booking Worker.
  2. Use the separately supplied TTS-Learning-Coach-Backend.zip and follow its START-HERE.txt. It contains multiple files and needs an assisted terminal deployment; copying worker.mjs alone into the dashboard editor is insufficient.
  3. Create and initialize the AI_USAGE quota database described in that package. Configure Supabase URL and publishable key, OpenAI API key, and the chosen model as backend settings/secrets. Keep keys out of public website files and chat.
  4. Verify the student-data/consent settings before enabling AI_ENABLED and AI_CONSENT_ACK. Test origin restrictions, signed-in access, student isolation, assigned-tutor access, active-test blocking, question approval and usage limits with staff-owned test accounts.
  5. Set the public endpoint and aiEnabled in lab/coach-config.js only after the backend passes those checks. Redeploy the website. The OpenAI key belongs only in backend secrets.
  6. Run one completed-assessment request for each exam, verify the selected question/evidence and confirm failures display correctly. No live AI requests or production permission tests have been verified in this release.
